    01 · Planning

    Plan each week by care role.

    Plan by care role rather than by person, so nurses, senior carers and carers are scheduled against each role's hours on every shift.

    Drag-and-Drop PlanningBuild the week by drag and drop, with each person's contracted hours counted live beside their name.
    Real Life on the GridApproved holiday, contracted days off, availability and night preference are shown as you plan, and a shift that would breach the Working Time Directive is blocked.
    Restrict By BudgetWith Restrict By Budget enabled, the rota cannot be planned beyond the hours agreed for each role.
    Role Budgets on the RotaEach shift placed updates the day's hours against the budget, shown live on the rota from red to green.
    Publish and AcknowledgePublish the rota in one step. Shifts are sent to staff phones for confirmation, and managers can see who has acknowledged them.
    Who Has Seen the RotaManagers can filter the published week by acknowledgement and follow up with anyone who has not yet confirmed.
    02 · Changes

    Changes are handled within the rota.

    When a shift changes, the hours return to the day's budget and the gap is shown as an open shift ready to fill.

    Open ShiftsAn open shift notifies every eligible staff member automatically; they claim it from their phone and the manager approves.
    Claimed in the Staff AppGaps are offered to your own team first, and each claim waits for the manager's approval.
    Notice Periods and ApprovalA swap is requested by one colleague, accepted by the other and approved by a manager, inside the notice period you have set.
    Swap and Drop RequestsStaff can drop a shift or swap with a colleague, within your notice periods and subject to manager approval.
    03 · On the day

    Every clock-in writes the timesheet.

    Once shifts are worked, the rota shows what actually happened (on time, late, amended or awaiting approval), so managers can see at a glance where attention is needed.

    04 · Payroll

    Once the period is locked, payroll is ready.

    Payroll runs in your own pay pattern, from the timesheets your managers have already approved.

    Payroll ExportsThe payroll report exports as CSV or XLSX, including a Moneysoft-format report, with breaks, rounding and lateness grace applied by your rules.
    Leave in the Pay PeriodApproved leave flows into the timesheet and the pay period, paid or unpaid by type.

    Does the rota stop a home overspending?

    With Restrict By Budget enabled, a shift that would exceed the role's hours is refused. With it disabled, the day is shown in red.

    Can staff pick up shifts themselves?

    Yes. Open shifts are sent to eligible staff, claimed in the app and approved by you.

    Can each home have its own rules?

    Yes. The rota's rules are set once for the company and tuned for each home, including claim, swap and drop rules and notice periods.

    Which payroll systems does it work with?

    The payroll report exports as CSV or XLSX, including a Moneysoft-format report, in your own pay pattern.

    What hardware do we need?

    None needs to be bought. Managers use the web dashboard, staff use their own phones, and the clock-in terminal is any Android tablet on the wall.

    Is there a setup fee or a contract?

    There is no setup fee. Contracts are monthly rolling with 30 days' notice, and setup, data import and live training are included.
