    Care Centre is a people management platform developed specifically for care homes and care home groups. RotaCloud is a workforce scheduling platform designed for shift-based organisations across a range of sectors, including care, hospitality, retail and charities.

    The main difference is therefore one of scope. RotaCloud provides rota and workforce management functionality that can be used across different types of organisations. Care Centre combines rota management with the wider people, compliance and operational requirements of residential care.

    More than rota management

    Care Centre uses its platform to bring together rota planning, time and attendance, leave, timesheets and payroll information, HR onboarding and compliance, policies, staff communication and recognition, staff and family surveys, and maintenance management.

    These functions are connected through a single staff record and staff app, reducing the need for managers and employees to move between separate systems.

    RotaCloud has a stronger focus on rota and workforce management. Additional functionality is available through different plans, add-ons and integrations with other software providers.

    For a care home primarily looking for a standalone rota system, this may provide everything required. For organisations looking to bring more of their people management into one care-specific ecosystem, Care Centre takes a broader approach.

    Rota planning designed around care roles

    Care home rotas need to account for more than the number of people working a shift. Managers also need to consider roles, skills, safe staffing requirements, contracted hours, availability, leave and staffing budgets.

    Care Centre plans rotas around care roles such as nurses, senior carers and carers. Managers can see the required skill mix alongside allocated hours and budgets as the rota is developed.

    Contracted hours are tracked against individual staff members, while holidays, days off, availability and preferences can be considered during planning. Bank and agency workers can also be included within the same rota.

    Working Time requirements can be incorporated into rota rules, including individual opt-outs where applicable.

    RotaCloud provides flexible rota planning for shift-based workforces, with budgeting and reporting capabilities depending on the plan selected. It also offers care-related functionality and integrations with specialist care software.

    One company, multiple homes

    Managing a care home group introduces another level of complexity. Group-wide standards need to be maintained while allowing individual homes to operate according to their own staffing requirements.

    Care Centre has been structured around this model.

    Settings can be established at company level and configured for individual homes. These can include role levels, leave limits, staffing budgets, pay rates, clock-in settings, shift claim and swap rules, onboarding requirements and compliance processes.

    This gives central teams greater consistency across the group while allowing each home to reflect its own operational requirements.

    Employees working across multiple homes can use one staff record and login, while managers responsible for several locations can move between homes within the same system.

    RotaCloud supports multiple locations, including location-level rota budgets, reporting and workforce management. Organisations whose main requirement is to manage rotas across several locations may therefore find this approach suitable.

    Rota planning & budgets

    Both platforms provide capable rota planning, but they take different approaches to budgeting.

    Care Centre builds staffing budgets directly into the rota using hours per role, per day, per home. Managers can set the required hours for nurses, senior carers and carers, then build each shift around those requirements. Contracted hours update alongside each employee as the rota is created.

    Homes can choose to restrict the rota to the agreed budget. If adding a shift would take a role beyond its allocated hours, the system can prevent it rather than simply flagging the overspend. When a shift is dropped or cancelled, those hours return to the available budget and the resulting open shift can be offered to suitable staff.

    Once published, shifts are sent directly to employees through the Care Centre app for confirmation.

    RotaCloud also provides drag-and-drop rota building, live labour costs and budget monitoring. Its budgeting is based on costs or labour percentages by rota, department or location rather than hours allocated to individual care roles each day.

    For homes that primarily want to monitor overall staffing costs, RotaCloud provides a flexible approach. Care Centre is more specifically structured around managing care-role hours and staffing budgets together.

    Time & attendance, timesheets & payroll

    Both platforms provide tools for recording attendance and preparing staff hours for payroll.

    Care Centre allows staff to clock in using a shared tablet within the home or their own phone within a defined location. Homes can also enable a photograph at clock-in where required.

    Clocking data feeds directly into the employee’s timesheet. A visual status system helps managers identify on-time attendance, late shifts, manual changes and items requiring approval. Managers can also see when a scheduled employee has not clocked in.

    Additional time is held for approval before being treated as overtime, while paid and unpaid leave feeds into the timesheet according to the home’s rules.

    Payroll periods can be configured as weekly, fortnightly, four-weekly, monthly or 4-4-5, with data exported as CSV or XLSX, including a Moneysoft-ready format.

    These functions are included within CareRota.

    RotaCloud provides mobile and terminal-based clocking through its Time & Attendance functionality, including location-based controls. It also provides timesheets and integrations with payroll platforms including Sage, PayCaptain and Staffology.

    The distinction is largely one of approach: Care Centre includes time and attendance within its care rota workflow, while RotaCloud offers established integrations with named payroll platforms.

    Leave management

    Both systems allow employees to request leave and managers to control availability.

    Care Centre allows employees to see their remaining entitlement in days or hours and request leave from their phone. Once approved, leave updates the rota, timesheet and payroll information.

    Homes can also limit how many people within particular roles can be away at the same time. For example, a home can set a maximum number of nurses or senior carers who can be on leave on a particular day. Once that limit is reached, further requests can be restricted.

    Leave rules can be established across a group and adjusted for individual homes.

    RotaCloud also provides comprehensive holiday management, including automated accrual, rota integration and rules designed to prevent leave from creating staffing shortages. It additionally provides leave embargoes, allowing organisations to block leave during defined periods.

    Care Centre does not currently provide an equivalent leave-embargo feature, instead managing availability through role-based leave limits.

    HR & compliance

    This is one of the more significant differences between the two platforms.

    Care Centre includes HR onboarding and compliance management as part of the wider platform. Standard onboarding can cover areas including DBS checks, right-to-work documentation, references and training certificates, with organisations able to configure their own requirements.

    New employees can complete onboarding from their phone. Managers can review individual items, return incomplete information and monitor progress through a compliance matrix.

    Documents with expiry dates can generate advance reminders, while policies can be version-controlled with acknowledgement records showing who has read the current version.

    RotaCloud provides employee profiles and document storage, including employment documents, and its Pro offering includes a logbook that can be used to record events and certificates. More extensive HR functionality can be provided through integrations with specialist HR platforms.

    For organisations already using a separate HR system, this approach may be suitable. Care Centre is designed for groups that want HR and care compliance connected directly to their rota and employee records.

    Staff communication & recognition

    Care Centre includes internal communication and employee recognition within the same staff app.

    Teams can recognise colleagues and associate recognition with organisational values. Homes can also publish news, events, polls and priority messages, including posts requiring acknowledgement.

    Posts can include photographs, uploaded video and YouTube or Vimeo links, so a home can share an event, a celebration or news from the home with the whole team. Recognition can be given as a thank-you, a star, congratulations, a work-anniversary message or employee of the month, and chat messages can include photographs.

    One-to-one and group chat provides a workplace alternative to using personal messaging services such as WhatsApp.

    RotaCloud provides shift-related staff notifications. Based on its published information, it does not provide equivalent internal chat, employee recognition or company-feed functionality.

    Staff, resident & family surveys

    Care Centre includes anonymous staff surveys alongside resident and family surveys.

    Survey results can be analysed using AI to identify themes and differences between groups of respondents. Findings can then be developed into action plans, including a You said · We said · We did format.

    Homes can also use short pulse questions between larger surveys.

    RotaCloud does not provide comparable survey and action-planning functionality, based on the available information.

    Maintenance & compliance

    Care Centre also extends beyond people management into the operation of the home. Maintenance requests can be submitted with photographs, while scheduled checks can be organised by room or asset. The platform includes an asset register and can hold records for areas including fire, gas, electrical, PAT, LOLER and legionella compliance.

    This provides another point of difference between the platforms.

    RotaCloud does not provide this within its core workforce-management proposition.

    AI

    Care Centre uses AI selectively within administrative and communication tasks rather than operational decisions.

    It can assist with writing recognition messages, creating surveys, analysing survey responses and importing staff information. According to Care Centre, personal information is redacted before relevant import processing and customer data is not used to train the underlying AI model.

    AI is deliberately not used to make decisions about rotas, clocking, payroll or leave, where configured rules remain in control.

    RotaCloud does not currently promote equivalent AI functionality, based on available information.

    Pricing

    The platforms use different pricing structures.

    Care Centre is priced per registered bed rather than per employee. Current pricing is:

    • CareRota: £6 per bed per month
    • CareHR: £6 per bed per month
    • People Management Platform: £10 per bed per month
    • Setup: £0
    • Contract: monthly rolling with 30 days’ notice

    The full platform combines CareRota and CareHR with additional functionality, including CareChat and CareMaintenance.

    This means staffing numbers do not directly affect the subscription price. For example, a 60-bed home with 80 employees is charged for 60 beds rather than 80 individual users.

    RotaCloud uses a headcount-based subscription model. According to its published pricing (September 2026), Standard starts from £10 per month and Pro from £15 per month for up to five employees, with pricing increasing by staff-number bands. Additional functionality such as Time & Attendance and SMS is priced separately.

    For smaller teams requiring primarily rota functionality, RotaCloud may therefore have a lower entry price. Care Centre’s per-bed model is designed around the higher employee-to-bed ratios typically found within residential care.

    Implementation, training & support

    Both platforms are cloud-based and designed to be relatively quick to implement.

    Care Centre requires no dedicated proprietary hardware. Staff can use their own phones, while standard Android tablets can be used within homes.

    Care Centre also provides initial configuration, staff-data import and live training for managers and employees without an additional setup fee. Ongoing support is provided by a UK-based team focused on the care sector.

    RotaCloud takes a more self-service approach to implementation and provides a 30-day trial and UK-based support.

    The choice here is between a more supported care-specific implementation and a platform designed to allow organisations to configure and get started themselves.

    Where Care Centre may be the better fit

    Care Centre is likely to suit organisations looking for more than standalone rota management, particularly where they:

    • Operate multiple care homes and want group-wide standards with home-level settings
    • Want rota budgets based on hours by care role

    RotaCloud may be more appropriate where:
