    Care Centre is a people management platform for care homes and care home groups: managers use a web dashboard, employees a staff app for iOS and Android, and a standard Android tablet is the clocking terminal. CoolCare is a care home administration system developed in Leeds and used mainly by office, finance and management teams, with a browser staff portal and SMS for employees and a wall-mounted terminal.

    The main difference is one of audience and scope: CoolCare brings the administration of a care home — rota, timesheets, agency, HR records, recruitment, resident invoicing and occupancy — into one office system, while Care Centre brings the management of the people working in the home into one platform used by employees themselves.

    More than an administration system

    Care Centre brings together rota planning, time and attendance, leave, timesheets and payroll, HR onboarding and compliance, policies, communication and recognition, surveys and maintenance, connected through a single staff record and staff app.

    CoolCare focuses on the administration of the home, adding HR records, recruitment, an agency ledger, resident invoicing, occupancy and an enquiry pipeline to its rota and attendance functionality, with finance exports and care records in Person Centred Software or Nourish.

    Care Centre does not currently provide resident invoicing, occupancy finance or care-record integrations, so CoolCare covers ground here that it does not.

    Rota planning designed around care roles

    Care home rotas account for more than the number of people on a shift: roles, skills, safe staffing, contracted hours, availability, leave and budgets all apply.

    Care Centre plans rotas around care roles such as nurses, senior carers and carers, tracking contracted hours against individual staff, applying Working Time requirements as rota rules, and including bank and agency workers in the same rota.

    CoolCare also plans by position, showing staffed versus required numbers and hours versus target each day, with cover offered by SMS and through the staff portal.

    One company, multiple homes

    Managing a care home group adds complexity: group-wide standards must be maintained while homes operate to their own staffing requirements.

    Care Centre has been structured around this model. Settings are established at company level and configured for individual homes, covering role levels, leave limits, budgets, pay rates, clock-in settings, shift rules and approvers, with one onboarding template for the group and a compliance matrix per home. Employees across several homes use one staff record and login.

    CoolCare supports several homes under one company and allows a home to pool staff from another for cover; its published documentation does not describe company-level rules with per-home overrides.

    Rota planning & budgets

    Both platforms plan rotas capably, but they budget differently.

    Care Centre builds staffing budgets into the rota using hours per role, per day, per home. With Restrict By Budget enabled, a shift that would take a role beyond its allocated hours is prevented rather than flagged; hours from a dropped shift return to the budget, and the open shift can be offered to suitable employees to claim from the app, subject to approval. Worked shifts are then reflected from the clocking records.

    Based on its published documentation, CoolCare monitors the rota against each position's staffing requirement but does not describe a hard stop when allocated hours are exceeded, or a rota view from the clocking records.

    For homes wanting staffed-versus-required positions at a glance, CoolCare provides a clear view; Care Centre is structured around care-role hours and budgets together.

    Time & attendance, timesheets & payroll

    Both platforms record attendance and prepare hours for payroll. Care Centre allows employees to clock in at a shared tablet using a PIN, or on their own phone within a defined radius, with an optional photograph at clock-in, and clocking feeds directly into the timesheet.

    The rules are tied to the rota: clocking in without a rostered shift can be left open, blocked or held for approval, managers are alerted to a no-show or missed clock-out, and additional time is approved before it counts as overtime. Payroll periods follow the home's pattern and can be locked, with CSV and XLSX export in a Moneysoft-ready format.

    CoolCare records attendance on a wall-mounted facial-recognition terminal, the Suprema BioStation 3, with new staff records transferring to it automatically. It states that it chose dedicated hardware because applications can be circumvented through VPN, GPS or shared PINs and photograph-and-PIN tablets need someone to review the images.

    Based on its published documentation, CoolCare does not describe a rule tying a clock-in to a rostered shift, control of unrostered clock-ins, a no-show alert or approval of additional time; its timesheet controls act afterwards. CoolCare verifies identity at the device; Care Centre applies the home's rules between the clock-in and the rota.

    Leave management

    Both systems allow employees to request leave and managers to control availability. In Care Centre employees see their entitlement and request leave from their phone, and approved leave updates the rota, timesheet and payroll. Homes can also limit how many people in particular roles are away at once, set for the group and adjusted per home.

    CoolCare allows employees to submit holiday requests through its browser staff portal.

    HR & compliance

    Both hold employee records and manage documents with expiry dates, but differ in who completes the work. In Care Centre, standard onboarding can be reshaped to an organisation's own steps and completed by the new starter on their phone, with managers reviewing items and returning incomplete ones. Progress is monitored through a compliance matrix per home, with advance reminders before documents lapse and version-controlled policies.

    CoolCare provides a full staff record for the office, covering documents, checks and renewals, exception reports, training and recruitment; onboarding completed by the starter on a phone is not described in published documentation.

    For organisations whose HR administration is carried out centrally, CoolCare's approach may be suitable; Care Centre suits groups wanting onboarding and compliance connected to the rota.

    Staff communication & recognition

    Care Centre includes internal communication and employee recognition in the same staff app: colleagues can be recognised, with monthly champions, and homes can publish news, events, polls and priority messages, including posts requiring acknowledgement. One-to-one and group chat provides a workplace alternative to personal messaging.

    Posts can include photographs, uploaded video and YouTube or Vimeo links, so a home can share an event, a celebration or news from the home with the whole team. Recognition can be given as a thank-you, a star, congratulations, a work-anniversary message or employee of the month, and chat messages can include photographs.

    CoolCare communicates with employees by SMS and through the staff portal; based on available information, it does not provide equivalent chat, recognition or company-feed functionality.

    Staff, resident & family surveys

    Care Centre includes anonymous staff surveys alongside resident and family surveys. Results can be analysed using AI to identify themes, and findings developed into action plans, including a You said · We said · We did format. Short pulse questions can be used at clock-out between surveys.

    CoolCare does not provide comparable survey or action-planning functionality, based on available information.

    Maintenance & compliance

    Care Centre also extends beyond people management into the home's operation: maintenance requests with photographs, scheduled checks by room or asset, and certificates with expiry dates alongside a Regulation 12 and 15 view.

    CoolCare lists maintenance management within its care home administration functionality; detail is not compared here.

    AI

    Care Centre uses AI selectively within administrative and communication tasks rather than operational decisions: writing recognition messages, creating surveys, analysing responses and importing staff information from a spreadsheet or photograph. According to Care Centre, personal information is redacted before relevant import processing and customer data is not used to train the underlying AI model. AI is not used for rotas, clocking, payroll or leave, and credits are included in the price.

    CoolCare does not list AI functionality on its site (14 September 2026).

    Pricing

    The platforms price differently. Care Centre is priced per registered bed rather than per employee:

    The full platform combines CareRota and CareHR with additional functionality, including CareChat and CareMaintenance, and every employee is included: a 60-bed home with 80 employees is charged for 60 beds, not 80 users. The terminal is a standard tablet, so no hardware is purchased.

    CoolCare does not publish pricing. It is quoted per bed, with clocking terminals at £1,765 wired or £1,985 Wi-Fi per device, or leased from £72 per month each, plus VAT; Advanced Reporting is charged per bed in addition, and the contract term is not published.

    Organisations comparing the two can obtain CoolCare's per-bed figure, terminal cost and minimum term, and set the total against Care Centre's published pricing.

    Implementation, training & support

    Both platforms are cloud-based, and both vendors include implementation and training. Care Centre requires no dedicated proprietary hardware: employees use their own phones and standard Android tablets serve as terminals. Configuration, staff-data import and live training are provided without a setup fee, and support comes from a UK-based team focused on the care sector, without tiers. A trial is available.

    CoolCare includes implementation, training, data import and a customer success manager, and installs terminals in each home.

    The distinction is largely one of equipment: both take a supported approach, while Care Centre needs no dedicated device in the home.

    Where Care Centre may be the better fit

    Care Centre is likely to suit organisations wanting more than care home administration, where they:

    • Operate multiple care homes and want group-wide standards with home-level settings
    • Want rota budgets by care-role hours, with the option to prevent a shift that exceeds them
    • Want clock-in rules connected to the rota, covering unrostered clock-ins, no-show alerts and approval of additional time

    Where CoolCare may be the better fit

    CoolCare may be more appropriate where:

    • Resident invoicing, occupancy and fee checks need to sit alongside the rota and timesheets, with finance exports to Sage, Xero, NetSuite, Sun or Access Dimensions
    • An agency ledger is required today, which Care Centre does not currently provide
    • Integrations with Person Centred Software or Nourish are required today, as Care Centre does not currently offer care-record integrations
    • A home prefers a wall-mounted facial-recognition terminal to phones and PINs, and values snap-to-shift
    • The requirement is office and finance administration rather than employee-facing workforce management
